Is your grade book set up properly?

I’ve written a couple of easy to follow steps to make sure that your gradebook is set up to properly calculate the students final grades for this semester.

Step 1: Check Q1

Click on the “Score Sheet” icon and select Q1 from the drop down box.  Do you see your 1st semester final average?
If not, simply create an assignment called “1st Quarter Grades”, set the date due to 10/20/09, and key in the students 1st nine week average as you reported it in classxp.  It doesn’t matter what Category you give this assignment because it’s going to be the only grade in Q1 and will thus count as 100% of the grade for Q1.  Once you make this assignment, save it, then right click it on the list and select “Copy Assignment”.  In the box that opens, check the boxes beside the other classes that have a first quarter average and click “Okay”.  You will, of course, have to enter the grades for each class individually.

Step 2: Check Your Grade Setup
Click on the “Grade Setup” icon and highlight S1.  Do you see the right Term Weights listed for Q1, Q2, and E1?  If you teach a year-long class you should highlight Y1 and make sure that S1 and S2 have the right term weights, as well.
If not, simply click the bubble beside term weights and enter 40 for Q1, 40 for Q2, and 20 for E1.  If you use different weights, enter those weights instead; for example, if you just want your exam to count as 10% you would enter 45 for Q1, 45 for Q2, and 10 for E1.  If you teach a year-long class you should highlight Y1, select “Term Weights” and set both S1 and S2 to 50.

I’m not going to cover the myriad of weighted types and categories you could have for S1 and S2 but I will offer the following.  If you have off-the-wall final grades (percents in the thousands for example), you should check each of your assignments and make sure that you don’t have any set to a value of 10 with scores like 78 and 95 listed.  That’s a very common problem since the default value for many categories (unless you change them) is 10.
